Labcold Enhances Microsoft Dynamics 365 with Webcurl's Expertise

Challenge: After deploying Microsoft Dynamics 365 with a major enterprise supplier, Labcold experienced limited support in the post-implementation phase.

A Solution-Oriented Partnership: Webcurl worked with Labcold to first audit the solution and gain an understanding of its configuration. Working together a priority wish list was created, including email security, data capacity and solution optimisation.

Email Security

Problem: Internal and private emails were logged in D365, raising concerns over significant security risks due to their visibility to all system users.

  • Any internal emails would no longer be logged inside Dynamics 365. 
  • If the sender is not currently a contact in D365 the email would not be logged or a contact could be created and the email logged retrospectively.
  • Internal or spam emails were stripped from within D365.

Result: Email security has been strengthened and less data is stored inside the solution reducing storage costs.

Case Management Improvements

Challenge: Labcold's case management system couldn't group cases by serial number, making it difficult to track customer history, and hindering customer service.

Solution: Webcurl reconfigured D365 to allow the grouping of cases by serial number.

Impact: Labcold's customer service team can now see a broader history of the customer and the asset.

Data saving

Challenge: Large amounts of data were stored inside D365, resulting in over-capacity and large storage costs.

Solution: Webcurl identified that large amounts of email data, documents and image files were stored inside D365. 

A data extraction tool was used to strip out unnecessary or duplicate data. Azure storage was used to archive old but important data and an automated retention process was created.

Results: Labcold has significantly reduced its annual storage costs by £12,000, and the system's functionality has improved due to the reduced load.

What's next?

Labcold's digital transformation journey continues with exciting developments on the horizon:

Enhanced Integrations: Webcurl is currently integrating Labcold's Field Service solution with Dynamics 365 and SYSPRO ERP. This seamless in-line process will unlock several benefits, including automation, reduced data re-entry, and optimised storage through the elimination of duplicate data.

Cloud Migration: Labcold is transitioning from the Citrix hosting platform to Azure. This cloud-based solution offers scalability, flexibility, and improved accessibility.

Empowering Expertise: Webcurl are delivering system admin training on an ongoing basis to Labcold's senior management and product owners.

Microsoft Dynamics 365 License Management: Since taking over the management of Labcold's Cloud Solution Provider (CSP) licenses, Webcurl has implemented a proactive management strategy for Dynamics 365 licenses. This has resulted in significant cost savings, with Labcold enjoying an annual reduction of £7,500.
